QuickBooks Desktop 2019 is the latest version in the QuickBooks Product line and is equipped with several new and improved features. The advanced features aim to enhance productivity and business efficiency.

New and Improved Features in QuickBooks Enterprise 2019

The Customer Invoice History Tracker

This is a new feature in QuickBooks Enterprise 2019. Also, the feature allows you ‘Real-time invoice status tracking.’ You can have a single consolidated picture of the invoice status with essential elements such as Invoice creation date, due invoice data, Invoice view date, etc. Also, you can now take timely actions for better communications with clients related to their open receivables.

To access the feature, go to a ‘Create Invoice window>> select ‘See history.’

Transfer credit between ‘jobs of the same customer.’

With this feature, you can effectively apply the ‘Customer credits’ for all the jobs of the same customer.  From the Apply credits window, assign the credit to other jobs for a particular/ same customer record. Though, it needs to be noted that you cannot undo the transfer of credits from one job to another for the same customer. Secondly, if you do not have ‘Chart of Accounts access you cannot transfer of credit between jobs. Thirdly, you cannot do ‘Transfer of credits & apply for credits’ when in an ‘Accountant’s copy of the client data.’

To access the feature, go to Unapplied credits of a customer >> Go to create invoice window>> choose ‘Apply for credits.’

Create a ‘Bill Payment’ while using the write check option.

Now you can avoid using the ‘Write check transaction type’ with the proper transaction type should be ‘Vendor Bill payment. The improvement this year will give a prompt by default to navigate to ‘Go to Pay Bills.’ You will see ‘filtered selected vendor’s unpaid bills.’ Optionally, you can select to continue ‘Write your checks’ (not putting/assigning it to open vendor bill).

To access this feature, look for a vendor that has an ‘Open (unpaid) vendor bills. Go to the menu bar – choose Banking>> Select write checks>>Fill in ‘vendor name’ that currently has unpaid vendor bills.

The inactive inventory items are included in the ‘Inventory Report Totals.’

The user can include the ‘inactive inventory items’ while preparing the Inventory Valuation detail Report or the Inventory valuation summary. The recommended process is that you make all inventory items that do not have ‘Quantity on Hand’ in QuickBooks, inactive. Including all the inventory items in reports will assure that accountants & their clients could reconcile the ‘Inventory Asset Account total’ on the Balance sheet to that of total Asset value on the Inventory valuation reports.

To access the feature >> go to reports>> Select Inventory>>choose Inventory valuation summary / Inventory valuation detail.

Improved Sick & Vacation Pay Tracking feature

The improved feature has an all-new ‘Company preferences’ to set the maximum type for Sick & Vacation time. The settings enter either ‘Maximum hours at a time’ or the ‘maximum hours for the year.’ Additionally, the user can easily track & report the employee’s sick and vacation time. Similarly, the paystub formatting has also been updated.

To access this feature – firstly set the ‘new maximum type’ for sick or vacation time, then log-in as the Admin user’ & in the ‘single user mode.’ Now go to the menu bar, choose Edit>> Select preferences>> click payroll & employees. Now, choose the ‘company preferences tab’ and select ‘Sick and vacation’ button.

The improved ‘Sensitive Payroll Permissions.’

First of all, Admin user warned when assigning permission that grants payroll transaction access. On the role List dialog, if a role has an asterisk (*) next to the name, that Role permits access to sensitive payroll transactions.

The feature gives you a definitive view of the permission levels. The permission levels here include access to ‘sensitive payroll transactions.

You can utilize this feature by navigating to ‘Company>> go to users>> select users & roles.

Important: Only the ‘Administrator user’ for the file can add/modify users.

The Improved Condense Data File Optimization.

With this feature, you can considerably reduce the QuickBooks company file size without deleting any data. You can also keep all transactions & remove only the ‘Audit Trail.’ The resultant decreased file is estimated to be around 32% smaller.

To access this feature – choose the Accountant menu bar>> select Accountant >> Condense data option. From the client’s version of QuickBooks, you can get this by navigating to – File>> Utilities>> Condense Data.

The improved ‘IIF List and data Imports.’

The improved IIF reporting allows and validates the data that has to be imported. Therefore, once you correct errors,  you can import the corrected records separately. It supports both lists & transactions.

To access the feature, go to the menu bar>> choose File>> go to utilities>> Export>> Lists to IIF files>> select the lists that need to be exported to the IIF formatted file. Now from the new QB File, choose File>> Utilities >>Import>>IIF Files and go to IIF file that is made for the import. You can also IIF formatted worksheet & manually add data for the import.

Improved ‘Intuit Data Protect.’

The user now gets seamless & intuitive automated data backup and restore facility in the QuickBooks 2019. Automatic backups now protect your data from loss or damage for the QuickBooks data file. The user can optionally choose to include important and critical data/documents for their backup routine. You have better set-up experience and can choose to receive notifications related to the success/failure of the scheduled backups.

To access this improved facility, go to File menu>> choose Back up Company>> setup/activate online backup.
